This guide explains how to set up a camp (e.g holiday camp or summer camp) in Abler.

Steps to Create a camp

  1. Go to Service Overview and select Add Service.
  2. Fill out the form that appears.
  3. Set up available options for participants.
  4. It may be helpful to create a training plan and sub-groups for each week so your staff, guardians and participants can track attendance and schedules.

General Settings

  • Name: Abler Summer Football Course – This title appears in the online shop.
  • Information: Add a description of the course.
  • Type: Select the type of service, e.g., Course.
  • Group: Autumn – This means all who purchase the course are placed in a group called Autumn. If you haven´t created group for that particular camp you need to do so first under groups.
  • Activity Type: If none apply, select Other.
  • Public or Private (Visible in Online Shop): Decide whether the course should be visible in the online shop or not.
  • Receiving Account: Choose the correct bank account.

Remove Members from Group When Subscription Ends (Recommended to use)

  • If selected, members are automatically removed from the sub-groups when the subscription ends.
  • If the member does not have another active subscription linked to a different sub-group, they will also be removed from the main group.
  • This setting can be adjusted in Settings.

Creating an Email Template and Survey for Purchases

You can create an email template for those who make a purchase. This allows you to send a customised confirmation email from your organisation when a customer buys a subscription. See more details here.

If you require additional information during registration, consider setting up a survey. This helps you collect important details from participants upon sign-up. See more details here.

Creating an Option/s (Service option)

  • Name: Name of the option (e.g., Week 1).
  • Subscription Start: When the camp starts.
  • Subscription End: When the camp ends.
  • Registration Opens: When registration becomes available in the online shop.
  • Registration Closes: When registration closes, the course will no longer be visible in the shop.
  • Participant Limit & Waiting List: You can set a maximum number of participants and enable a waiting list. See more details here: [Participant Limit & Waiting List].
  • Price: Enter the course price.
  • Maximum Instalment's: Determines how many instalment's a buyer can divide the payment into.
  • Status:
    • Open – Visible in the online shop.
    • Hidden – Not visible in the online shop.
  • Sub-Group: In this example, select Create New Group and name it Week 1.
    • This means all buyers of this option will automatically be added to Week 1 and ALL sub-groups on the coach’s side.

You can then create a training plan for this sub-group, allowing training sessions to be displayed for those who attend week 1. See how to create training plan: Link.

Cloning an Option for Multiple Weeks

If you have multiple weeks, you can clone the option instead of manually creating each one. Simply:

  • Click Clone on the existing option.
  • Rename it (e.g., Week 2, Week 3).
  • Update the start and end dates.
  • Create a new sub-group for the new week.
  • Repeat this process for additional weeks.
  • This saves time and ensures each week has the correct dates, groups, and structure.

Multiple Week Selection vs. Single Selection

  • Uncheck "Single Selection" to allow participants to select multiple weeks at once.
  • If "Single Selection" is enabled, participants can only choose one week and pay for that week alone.

Preview and Publishing

  • Click Preview in Online Shop to see how the course will look before publishing.
  • Once the service is created and registration is open, it will appear in the online shop.

Create a training plan for each sub-group

It's important to create a training plan for the camp, and make sure that each sub-group has its own plan. This can be set up for Week 1 or a specific day like Monday, depending on your setup.

Here’s how you can do it:

  1. Go to the Events section.

    • Navigate to the Events tab in your admin panel.

  2. Create a new training plan.

    • Click on “Create training plan”.

    • Choose the group or sub-group you want to create the plan for.

  3. Set the time period.

    • Select if this is for Week 1, a specific date (e.g., Monday), or a full schedule covering multiple days.

  4. Add training sessions.

    • Add your training sessions, times, and descriptions.

    • You can also add locations and any notes relevant to coaches or members.

  5. Repeat for each sub-group.

    • Make sure every age group or skill level has its own tailored plan.

  6. Publish the plan.

    • Once everything is ready, publish it so participants and coaches can view it.
