Groups are used to categorise participants, making it easier to manage teams, events, and training programs. Common categories might include "Under 10", "Under 18", or "Adult", and you can further divide them into smaller subgroups for specialised training or competitions.
By organising groups effectively, your organisation can communicate more efficiently with players and their guardians, sending targeted messages and updates to the relevant groups.
To create a group:
- In the left-hand side menu, navigate to Groups.
- Select the Add button, then select Add Group on the dropdown menu.
- Fill in the details for the group:
- Name: Enter a name for the group.
- Gender: Select the appropriate gender for the group.
- Birth Year: Select the relevant age range for participants.
- Optional. Specify a time period to track the group's attendance (if applicable).
- Optional. Upload a picture for the group.
- Specify advanced settings:
- Department: Assign the group to a specific department.
- Members visibility: This setting controls the visibility of the group's members. The default option allows members to see each other, while the hidden option prevents members from viewing other members.
- Attendance Privacy: Control who can view group attendance. By default, only the coach and player can see this, but you can modify it to be visible to coach only or everyone in the group.
- Colour: Select a colour to represent the group visually within the system.
- Guardians Enabled: Select this option if guardians should be able to see the group's events. This is typically used for participants who are minors.
- Whey you're finished, select Create to save the group, or select Create & Create Another to set up additional groups.
Editing and archiving groups
If you need to adjust the privacy of a group, change attendance visibility, or make other updates, you can edit the group.
To edit a group:
- Select the Group you want to edit.
- Select the Edit button, then select Edit Group on the dropdown menu.
- In the Edit Group window, use the navigation pane on the left-hand side to access different settings to make the desired changes.
- To remove the group from active use, go to Advanced settings and select Archive.
